Group Administrator Best Practices

These practices help districts maintain consistent agendas, reduce accidental changes, and simplify support.

Designate one primary agenda owner

During implementation, designate one person as the primary owner of each meeting agenda. That person should normally:

  • clone the correct template;
  • update the agenda;
  • coordinate attachments;
  • review the finished agenda; and
  • publish and send notifications.

Other Group Administrators may add or update attachments as they are trained, but changes to the overall agenda structure should initially remain with the primary administrator.

Use the edit lock safely

schoolboard.net locks an agenda while it is being edited. Save to preserve changes and release the lock. Use Unlock only when no changes were made. See Edit locks and safe agenda editing.

Clone templates whenever possible

Use Drafts & Templates as the normal starting point. Build a new agenda from Add Content only when an appropriate template does not exist.

Templates help preserve recurring agenda sections, standard language, approved formatting, recurring attachments, and a consistent public experience.

Work in Draft Mode

schoolboard.net recommends saving and reviewing the agenda in Draft Mode instead of keeping unsaved work in Preview.

A draft has:

  • Visibility: Private
  • Notifications: Unchecked
  • Published: Unchecked

Save frequently and review the saved agenda. Authorized administrators can return to it later, and no public content or notification is released. When review is complete, follow Publish and notify.

Verify the assigned group

Every agenda must be assigned to the correct group. An agenda that is unassigned or assigned to the wrong group may appear to be missing from the expected group page.

Before publishing, verify the meeting title, assigned group, meeting date and time, visibility, publication status, and notification selections.

Review public and private content

Preview is an administrator view, not an anonymous public preview. Keep confidential content beneath the correct private heading or label it clearly, such as Private: Read.... After publishing, sign out and verify the public page.

Use spell check and proofread

Activate the browser's spell checker before editing. Review every suggestion, then proofread the complete saved agenda for names, dates, times, amounts, meeting terminology, missing words, and correctly spelled but incorrect words.

Confirm public notification delivery

Subscribe to the group's public notifications using a monitored personal or independent email address. Receiving the notice confirms delivery and provides a direct way to test its links and public access.

After the intended notice is sent, immediately reopen the agenda, clear Notifications, and save again. Notifications should be selected only for the specific save that is intended to send a notice.

Do not leave Notifications selected

A later edit or save may send another notice if Notifications remains selected. Clearing it immediately makes every future notification a conscious decision.

Ask before guessing

When a step or setting is unclear, pause and ask. There are no stupid questions. A quick support question is preferable to recreating content or sending an unintended notification.
