Group Administrator FAQ¶
I cannot find an agenda in the group¶
First check Drafts & Templates. The agenda may still be unpublished.
Also confirm that the agenda was assigned to the correct group. Content assigned to another group will not appear where expected.
If the agenda still cannot be found, ask a District Administrator to search the site-wide Content list.
I see several entries with the same agenda title¶
The site may be displaying revisions. Review the Updated date and time and open the most recent entry.
Do not delete older entries until you have confirmed which entry is the current published agenda.
Should I create an agenda from Add Content or clone a template?¶
Clone a template from Drafts & Templates whenever a suitable template exists. Use Add Content only when the agenda must be created from scratch.
Why is my cloned agenda missing from the group?¶
Open the agenda and verify its Group assignment. During cloning, click the intended Group even if it appears highlighted. A highlighted Group is not necessarily selected.
Why is a published agenda missing from the public group page?¶
Check all of the following:
- Visibility is set to Public.
- The agenda is Published.
- The correct Group is assigned.
- The meeting date and other required fields are complete.
How do I notify only group members about a revision?¶
Follow Notify group members without notifying the public.
What does Preview show?¶
Preview shows the signed-in Group Administrator view. It is not a public preview. Work in Draft Mode, then sign out after publication to verify the anonymous public view.
How can I confirm public notifications were sent?¶
Subscribe to public notifications using a monitored personal or independent email address. If the expected notice does not arrive, verify publication, notification settings, and email delivery.
How do I avoid sending duplicate notifications?¶
Select Notifications only for the specific save that should send a notice. Immediately after the notice is sent, reopen the agenda, clear Notifications, and save again. This prevents a later agenda edit or save from sending another notice accidentally.
Can several administrators edit one agenda?¶
They may have permission to edit it, but only one administrator can edit it at a time. One person should own the agenda preparation process. schoolboard.net locks the agenda while that person is editing.
Why can't I edit an agenda?¶
If a warning identifies another editor, that person currently holds the edit lock. Note the name and lock duration, contact the editor, and wait for the agenda to be saved or unlocked. Do not try to work around an active lock.
What if the edit lock is stuck?¶
First confirm that the named editor has stopped editing and has no work that still needs to be saved. Refresh or reopen the agenda.
If it remains locked, contact a District Administrator. Only a District Administrator can break another user's stuck content lock. This is a last resort, and the District Administrator must confirm that nobody is editing and that no unsaved work needs to be preserved.
See Edit Locks and Safe Agenda Editing for the illustrated procedure.
What should I do when I am unsure?¶
Stop and ask. There are no stupid questions. Contact the district's primary administrator or schoolboard.net support before making a change that might affect publication, visibility, notifications, or agenda structure.
