Best Practices and Final Checklist¶
Use these practices to keep agenda preparation consistent, secure, and easy to review.
Assign one owner for each meeting¶
Designate one administrator to maintain the agenda structure and coordinate the meeting through publication. Other Group Administrators may add approved content and attachments, but simultaneous structural editing should be avoided.
This provides a clear source of truth and reduces conflicting or accidental changes.
schoolboard.net now places an edit lock on an agenda while it is being edited. Follow Edit locks and safe agenda editing, save to preserve changes and release the lock, and use Unlock only when no changes were made.
Clone an approved template¶
- Clone the template for the correct meeting type.
- Never convert the master template into a current meeting.
- Maintain separate templates for recurring formats such as Regular Meeting, Regular Meeting with Closed Session, Work Session, and Special Meeting.
- Include blank recurring sections and Expandable HTML components in templates.
- Complete the blank sections needed for the meeting and remove unused blank sections before publication.
- Change master templates only when the district intentionally changes its standard structure.

Work in Draft Mode¶
While preparing and reviewing an agenda, keep:
- Visibility: Private
- Notifications: Unchecked
- Published: Unchecked
Save frequently and review the saved draft. Preview is an administrator view and is not the recommended normal review method.
Verify Group assignment¶
After cloning, actively select the intended Board or committee Group even when it appears highlighted. Group assignment affects where the agenda appears, who may access private material, and who may receive Group notifications.
Protect public and private content¶
- Place confidential files and Expandable HTML under the private controls.
- Confirm authorization before using Switch to public.
- Open every replacement attachment after saving.
- Use a new filename for a replacement file so browsers and search indexes recognize the new version.
- Sign out after publication and verify the anonymous public view.
Use meaningful Revision Text¶
Describe exactly what changed. Revision Text may appear in Group-member notifications and should let recipients understand the update without comparing the entire agenda.
Confirm public notification delivery¶
Subscribe to the Group's public notifications using a personal or otherwise independent email address. Receiving the notice and opening its link provides an independent confirmation of delivery and public access.
Immediately after the intended notice is sent, reopen the agenda, clear Notifications, and save again. This returns the agenda to a safe state for later edits.
Every notification should be intentional
Do not leave Notifications selected. A later edit or save may send another notice. Select it only for the specific save that should notify recipients.
Ask before guessing¶
Contact the District Administrator or schoolboard.net Support whenever Group assignment, privacy, publication, notifications, revisions, or attachment access is uncertain. There are no stupid questions.
Final agenda checklist¶
Meeting information¶
- [ ] The title, date, time, and Agenda Header are correct.
- [ ] The correct Group was actively selected.
- [ ] All template placeholder text was replaced.
- [ ] Unused blank sections were removed.
Agenda structure and content¶
- [ ] Browser spell check was active and every suggestion was reviewed.
- [ ] The complete saved agenda was proofread for names, dates, times, amounts, meeting terminology, missing words, and correctly spelled but incorrect words.
- [ ] Sections appear in the approved order.
- [ ] Agenda Items belong beneath the correct sections.
- [ ] Public and private files belong beneath the intended Agenda Items.
- [ ] Public and private Expandable HTML is complete and correctly classified.
- [ ] Duplicate, obsolete, and unintended content was removed.
Attachments¶
- [ ] Every attachment has a meaningful description.
- [ ] Every public attachment is approved for public release.
- [ ] Every confidential attachment is under Private Files.
- [ ] Replacement files use new filenames and open correctly.
- [ ] Display and attachment order are correct.
Publication and notification¶
- [ ] The saved draft was reviewed before publication.
- [ ] Visibility is Public when the agenda should be publicly available.
- [ ] Published is selected.
- [ ] Notifications were selected only for the intended audience and save.
- [ ] Notifications were cleared and saved immediately after the intended notice was sent.
- [ ] Revision Text clearly explains a published update.
- [ ] The independent public-notification account received the expected notice.
- [ ] The signed-out public view and its links were verified.
