Prepare the Source Document¶
Cleaning the source before copying is faster and safer than correcting every problem after publication.
Confirm the approved content¶
- Verify the title, meeting, date, and responsible department.
- Confirm that the document is the current approved version.
- Remove drafting instructions and placeholder text.
- Resolve comments and suggested changes.
- Accept or reject tracked changes according to district policy.
- Confirm that confidential information is separated from public content.
Simplify the document¶
Keep content structure and meaning. Remove visual formatting that exists only to imitate a printed page.
Avoid:
- repeated blank paragraphs;
- tabs or spaces used for alignment;
- manual line breaks after every visual line;
- text boxes and floating objects;
- multi-column page layouts;
- decorative borders and background images;
- tables used only to position text; and
- headers, footers, and page numbers that do not belong in the web content.
Preserve meaningful structure¶
Before transferring content, identify:
- the document title;
- section and subsection headings;
- numbered steps;
- bulleted lists;
- meaningful links;
- data tables and their headers;
- informative images and their purpose; and
- notes, warnings, or legally required language.
Do not flatten structure
Copying everything as plain paragraphs may remove unwanted formatting, but it can also remove headings, lists, table relationships, and links. Reapply that meaningful structure in schoolboard.net before publication.
